Responsibility
- Manage incoming and outgoing communications, including phone calls, emails, and correspondence, ensuring timely and professional responses.
- Oversee office stationery and supplies inventory, placing orders and maintaining stock levels to support daily operations.
- Coordinate office maintenance, including liaising with vendors for repairs, cleaning, and facility upkeep.
- Monitor and record employee attendance using the time management system, ensuring accuracy and compliance with company policies.
- Assist in preparing and organizing documents, reports, and presentations for meetings and project updates.
- Handle scheduling for meetings, appointments, and travel arrangements for staff and visitors.
- Maintain filing systems (both digital and physical) to ensure easy retrieval of important documents.
- Provide general administrative support to project teams, including data entry, expense tracking, and logistical coordination.
Qualifications
- Minimum of 2 years of experience in administrative support, office management, or a related field.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and familiar with time management systems.
- Strong organizational and multitasking abilities with keen attention to detail.
- Excellent written and verbal communication skills in English; knowledge of Mandarin or Indonesian is a plus.
- Ability to work independently and collaboratively in a fast-paced, multicultural environment.
- High school diploma or equivalent; a degree in Business Administration or related field is advantageous.
- Experience in the construction or engineering industry is preferred but not required.
- Demonstrated problem-solving skills and a proactive approach to tasks.
