Responsibility
- Manage and prioritize the Managing Director’s calendar, ensuring optimal scheduling and timely reminders for meetings, deadlines, and travel arrangements.
- Coordinate and organize virtual meetings, including preparing agendas, taking minutes, and following up on action items using AroFlo and other collaboration tools.
- Handle inbound and outbound communications, including emails, calls, and messages, with professionalism and discretion.
- Prepare, edit, and proofread documents, reports, and presentations to ensure accuracy and consistency in executive communications.
- Leverage AroFlo to track projects, deadlines, and workflows, ensuring all tasks are completed efficiently and on time.
- Conduct research, compile data, and generate insights to support decision-making and strategic initiatives.
- Act as a liaison between the Managing Director and internal/external stakeholders, maintaining strong professional relationships.
- Assist with personal and professional administrative tasks, such as expense reporting, travel bookings, and event planning.
Qualifications
- Minimum of 2-3 years of experience as an Executive Assistant or in a similar administrative role, supporting senior executives.
- Proficiency in AroFlo or other field service management software; willingness to learn and adapt to new tools.
- Exceptional organizational skills with the ability to manage multiple priorities in a fast-paced environment.
- Strong command of the English language, both written and verbal, with impeccable grammar and attention to detail.
- Advanced proficiency in Microsoft Office (Word, Excel, PowerPoint) and Google Workspace (Gmail, Calendar, Docs, Sheets).
- Experience with calendar management, email filtering, and inbox organization to ensure seamless communication.
- Ability to work independently, problem-solve, and exercise discretion with confidential information.
- Strong interpersonal skills with a proactive and positive attitude, even under pressure.
