Responsibility
- Develop, implement, and maintain an efficient records management system to ensure accuracy, accessibility, and security of all organizational documents.
- Classify, index, and file physical and digital records in accordance with established protocols and legal requirements.
- Conduct regular audits of records to ensure compliance with internal policies and external regulations.
- Coordinate with departments to gather, update, and archive records, ensuring timely and accurate documentation.
- Manage the retention and disposal of records in line with organizational policies and legal obligations.
- Train staff on proper records management procedures and best practices for data integrity.
- Utilize records management software to automate processes, improve efficiency, and enhance data retrieval.
- Prepare reports and summaries of records-related activities for management review.
Qualifications
- Bachelorâs degree in Library Science, Information Management, Business Administration, or a related field.
- Minimum of 2-3 years of experience in records management, administrative support, or a similar role.
- Proficiency in records management software (e.g., SharePoint, Alfresco, or custom databases) and Microsoft Office Suite.
- Strong organizational skills with meticulous attention to detail and accuracy.
- Excellent written and verbal communication skills in English.
- Knowledge of data protection regulations (e.g., GDPR, local privacy laws) and records retention policies.
- Ability to work independently, prioritize tasks, and meet deadlines in a fast-paced environment.
- Experience in an educational or non-profit sector is a plus.
