Responsibility
- Manage and coordinate complex calendars, appointments, and meetings for senior consultants, ensuring optimal time allocation.
- Handle confidential client communications, including emails, calls, and correspondence, with professionalism and discretion.
- Prepare and organize financial documents, reports, and presentations to support consultancy operations.
- Liaise with clients, vendors, and internal teams to facilitate smooth workflows and resolve administrative queries.
- Maintain accurate and up-to-date filing systems (digital and physical) for client records, contracts, and financial data.
- Assist in the preparation of invoices, expense reports, and other financial documentation as required.
- Coordinate travel arrangements, including flights, accommodations, and itineraries for consultants and clients.
- Proactively anticipate administrative needs and implement process improvements to enhance efficiency.
Qualifications
- Proven experience (2+ years) as a Personal Assistant, Executive Assistant, or in a similar administrative role, preferably in finance or professional services.
- Exceptional organizational skills with the ability to prioritize tasks and meet tight deadlines in a fast-paced environment.
- Strong written and verbal communication skills in English; additional languages are a plus.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace (Docs, Sheets, Calendar).
- High level of discretion and integrity when handling sensitive client and financial information.
- Self-motivated with a proactive approach to problem-solving and a keen eye for detail.
- Ability to work independently with minimal supervision while collaborating effectively in a hybrid/remote team.
- Familiarity with CRM systems (e.g., Salesforce, HubSpot) or financial software is advantageous.
