Responsibility
- Oversee daily office operations, including facility management, vendor coordination, and supply procurement to ensure a well-organized and efficient workspace.
- Provide high-level personal assistance to the CEO and senior executives, including calendar management, travel arrangements, and expense reporting.
- Act as the primary point of contact for internal and external stakeholders, handling correspondence, inquiries, and communications with professionalism and discretion.
- Develop and implement administrative policies, procedures, and systems to optimize workflow and productivity.
- Coordinate meetings, conferences, and events, including preparing agendas, taking minutes, and following up on action items.
- Manage confidential documents, contracts, and sensitive information with strict adherence to privacy protocols.
- Liaise with HR, finance, and other departments to ensure cross-functional alignment and support.
- Anticipate executive needs and proactively address challenges to minimize disruptions and enhance decision-making.
Qualifications
- Proven experience (5+ years) as an Office Manager, Executive Assistant, or Personal Assistant, preferably in a corporate or international setting.
- Exceptional organizational and time-management skills, with the ability to prioritize tasks in a high-pressure environment.
- Strong written and verbal communication skills in English; proficiency in additional languages is a plus.
- Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with project management tools (e.g., Asana, Trello).
- High level of discretion, integrity, and professionalism in handling sensitive information.
- Problem-solving mindset with a proactive approach to identifying and resolving operational inefficiencies.
- Bachelor’s degree in Business Administration, Management, or a related field is preferred.
- Experience working in Southeast Asia or for multinational companies is advantageous.
