Responsibility
- Coordinate and monitor export logistics, including shipment scheduling, carrier negotiations, and customs documentation to ensure on-time deliveries.
- Liaise with freight forwarders, suppliers, and internal teams to resolve logistics-related issues and optimize supply chain processes.
- Prepare and verify shipping documents (e.g., bills of lading, invoices, packing lists) in compliance with international trade regulations.
- Track inventory levels and report discrepancies to prevent stockouts or overstocking.
- Provide executive administrative support, including managing calendars, arranging meetings, and preparing reports for the Admin Manager.
- Handle confidential correspondence, draft communications, and maintain organized filing systems (digital and physical).
- Assist in budget tracking and expense reporting for logistics and administrative functions.
- Act as a point of contact for internal and external stakeholders, ensuring professional and timely responses.
Qualifications
- Bachelorâs degree in Business Administration, Logistics, Supply Chain Management, or a related field.
- Minimum 3 years of experience in logistics coordination, export operations, or a similar role.
- Proven experience as an Executive Assistant or in a high-level administrative support role is a plus.
- Strong knowledge of incoterms, customs procedures, and international shipping regulations.
- Proficiency in MS Office Suite (Excel, Word, Outlook) and logistics software (e.g., SAP, ERP systems).
- Excellent communication, organization, and time-management skills.
- Ability to work independently, prioritize tasks, and meet tight deadlines in a multicultural environment.
- Fluency in English (written and spoken); knowledge of Indonesian (Bahasa) is advantageous.
