Responsibility
- Serve as the primary point of contact for all inbound calls, providing professional and courteous assistance to families, referrals, and internal staff.
- Manage the main phone line efficiently, ensuring calls are directed to the appropriate departments or individuals with minimal wait times.
- Respond to inquiries with accuracy and empathy, addressing questions about services, appointments, and general information.
- Document and track call details, follow-ups, and action items in our CRM system to ensure seamless communication and accountability.
- Collaborate with clinical and administrative teams to resolve complex inquiries and escalate issues as needed.
- Monitor call volume and performance metrics, identifying opportunities to improve efficiency and customer satisfaction.
- Assist in training and onboarding new team members on phone protocols, company policies, and best practices for call handling.
- Maintain confidentiality and adhere to HIPAA and company guidelines when handling sensitive information.
Qualifications
- Minimum of 2-3 years of experience in a customer service, call center, or administrative role, preferably in healthcare or behavioral health.
- Exceptional verbal and written communication skills in English, with a clear and professional phone presence.
- Strong organizational skills and the ability to multitask in a fast-paced environment.
- Proficiency in CRM software, Microsoft Office Suite, and basic computer applications.
- Empathetic and patient demeanor, with a passion for helping others and delivering outstanding service.
- Ability to work independently in a remote setting, with reliable internet and a distraction-free workspace.
- Experience with call routing systems, VoIP, or virtual phone platforms is a plus.
- Familiarity with behavioral health terminology or prior experience in a healthcare setting is highly desirable.
