Responsibility
- Greet and welcome patients with professionalism and warmth, creating a positive first impression of our clinic
- Manage appointment scheduling, confirmations, and reminders using our clinic management software
- Handle patient check-ins and check-outs efficiently, including processing payments and insurance information
- Maintain accurate patient records and ensure all documentation is properly filed and confidential
- Coordinate with medical staff to ensure smooth patient flow and optimal clinic operations
- Respond to patient inquiries via phone, email, and in-person with accurate information about services and procedures
- Manage clinic inventory of front office supplies and coordinate with vendors for restocking
- Assist with basic marketing tasks including social media updates and promotional material distribution
Qualifications
- Minimum 1 year of experience in front office administration, preferably in healthcare or aesthetic services
- Professional appearance and excellent interpersonal skills with a customer-service orientation
- Fluent in English and Bahasa Indonesia; additional languages are a plus
- Strong organizational skills with the ability to multitask in a fast-paced environment
- Proficient in Microsoft Office Suite and experience with clinic management software
- Basic understanding of medical terminology and aesthetic procedures is advantageous
- Ability to maintain confidentiality and handle sensitive information with discretion
- Flexible schedule availability, including weekends if required
