Responsibility
- Greet and assist clients and their pets with a warm, professional demeanor, ensuring a welcoming atmosphere.
- Manage incoming calls, emails, and walk-in inquiries, providing accurate information about clinic services, appointments, and policies.
- Schedule and confirm veterinary appointments, surgeries, and follow-ups while coordinating with the medical team.
- Process financial transactions, including payments, invoices, and insurance claims, with precision and confidentiality.
- Maintain organized and up-to-date client records, pet histories, and administrative documentation in digital systems.
- Coordinate case flow by liaising between clients, veterinarians, and support staff to ensure timely and efficient service.
- Handle retail sales of pet products, medications, and supplies, offering recommendations as needed.
- Assist in maintaining a clean, tidy, and well-stocked reception area to uphold clinic standards.
Qualifications
- Proven experience in a receptionist, customer service, or administrative role, preferably in a veterinary, healthcare, or animal care setting.
- Excellent communication skills in English (written and verbal) with a friendly, empathetic, and professional tone.
- Strong organizational and multitasking abilities to manage high-volume inquiries and administrative tasks efficiently.
- Proficiency in basic computer applications (e.g., MS Office, Google Workspace) and the ability to learn clinic-specific software quickly.
- Cash handling experience and attention to detail for accurate financial transactions.
- Passion for animal welfare and a willingness to work in a fast-paced, emotionally engaging environment.
- Ability to work flexible hours, including weekends or evenings, as required by clinic needs.
- High school diploma or equivalent; additional certification in veterinary reception or animal care is a plus.
