Responsibility
- Manage and maintain accurate records of fleet vehicles, including registration, insurance, maintenance schedules, and compliance documents.
- Coordinate with drivers and dispatchers to ensure timely and efficient deployment of vehicles, optimizing routes and minimizing downtime.
- Monitor fuel consumption, vehicle performance, and maintenance needs, reporting any issues to the fleet manager for prompt resolution.
- Assist in the preparation of daily, weekly, and monthly reports on fleet operations, including mileage, fuel usage, and maintenance costs.
- Ensure all fleet-related documentation is up-to-date and compliant with company policies and regulatory requirements.
- Liaise with external vendors, service providers, and government agencies for vehicle inspections, repairs, and licensing.
- Support the fleet manager in budget tracking, cost analysis, and procurement of fleet-related supplies and services.
- Assist in the onboarding and training of new drivers, ensuring they understand company policies, safety protocols, and operational procedures.
Qualifications
- Minimum of 1-2 years of experience in fleet administration, logistics, or a related administrative role.
- Strong organizational skills with the ability to manage multiple tasks and prioritize effectively in a fast-paced environment.
- Proficiency in Microsoft Office (Excel, Word, Outlook) and experience with fleet management software or ERP systems is a plus.
- Excellent communication skills, both written and verbal, with the ability to liaise effectively with internal teams and external partners.
- Attention to detail and a high level of accuracy in data entry, record-keeping, and reporting.
- Basic understanding of vehicle maintenance, compliance requirements, and logistics operations.
- Ability to work independently, take initiative, and solve problems proactively.
- Fluency in English and Bahasa Indonesia is required; additional languages are a plus.
