As a Fleet Administrative Assistant, you will work closely with our operations team to coordinate vehicle maintenance, manage documentation, and streamline administrative processes. Responsibility

  • Coordinate and schedule vehicle maintenance, repairs, and inspections to ensure fleet operational readiness.
  • Maintain accurate and up-to-date records of vehicle registrations, insurance, and compliance documentation.
  • Assist in managing fuel consumption logs and expense reports for fleet vehicles.
  • Liaise with vendors, drivers, and internal teams to facilitate smooth fleet operations.
  • Prepare and distribute reports on fleet performance, utilization, and maintenance costs.
  • Handle administrative tasks such as filing, data entry, and correspondence related to fleet management.
  • Assist in the onboarding process for new drivers, including documentation and training coordination.
  • Support the team with ad-hoc administrative tasks and projects as needed.

Qualifications

  • Minimum of 2-3 years of experience in an administrative role, preferably within fleet management or logistics.
  • Strong organizational skills with the ability to multitask and prioritize tasks effectively.
  • Proficient in Microsoft Office Suite (Excel, Word, Outlook) and familiar with fleet management software.
  • Excellent communication skills, both written and verbal, with a professional demeanor.
  • Detail-oriented with a high level of accuracy in data entry and record-keeping.
  • Ability to work independently as well as part of a team in a fast-paced environment.
  • Basic knowledge of vehicle maintenance and compliance requirements is a plus.
  • Fluency in English is required; knowledge of Bahasa Indonesia is an advantage.
