Responsibility
- Manage the Directressâs calendar, including scheduling meetings, appointments, and travel arrangements with precision and foresight.
- Prepare and edit correspondence, reports, and presentations, ensuring accuracy, clarity, and alignment with organizational standards.
- Act as the primary point of contact for internal and external stakeholders, handling inquiries with professionalism and confidentiality.
- Organize and maintain executive files, records, and documentation, implementing efficient systems for easy retrieval.
- Coordinate logistics for meetings and events, including venue booking, agenda preparation, and follow-up actions.
- Monitor and prioritize incoming communications (emails, calls, and mail), ensuring timely responses and appropriate routing.
- Assist in budget tracking and expense reporting for the Directressâs office, maintaining meticulous financial records.
- Anticipate the needs of the Directress and proactively address administrative tasks to enhance productivity.
Qualifications
- Bachelorâs degree in Business Administration, Secretarial Studies, or a related field. Relevant experience may substitute for formal education.
- Minimum of 3 years of experience as an executive secretary, personal assistant, or in a similar high-level administrative role.
- Exceptional written and verbal communication skills in English; proficiency in additional languages is a plus.
- Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace.
- Strong organizational and time-management skills, with the ability to multitask and meet tight deadlines.
- High level of discretion, integrity, and professionalism in handling confidential information.
- Proven ability to work independently, take initiative, and exercise sound judgment in decision-making.
- Experience in an educational or non-profit sector is highly desirable.
