Responsibility
- Manage the Chairman’s calendar, including scheduling meetings, appointments, and travel arrangements with meticulous attention to detail.
- Prepare and edit correspondence, reports, and presentations, ensuring accuracy and professionalism in all communications.
- Act as the primary liaison between the Chairman and internal/external stakeholders, including board members, clients, and partners.
- Coordinate and facilitate high-level meetings, including preparing agendas, taking minutes, and following up on action items.
- Maintain strict confidentiality of sensitive information and exercise discretion in all interactions.
- Oversee office operations, including managing supplies, coordinating with IT, and ensuring a well-organized workspace.
- Conduct research and compile data to support the Chairman’s decision-making processes.
- Handle special projects and ad-hoc tasks as assigned by the Chairman or executive team.
Qualifications
- Bachelor’s degree in Business Administration, Secretarial Studies, or a related field. Advanced degrees or certifications are a plus.
- Minimum of 5 years of experience as an Executive Secretary, Personal Assistant, or in a similar high-level administrative role.
- Exceptional written and verbal communication skills in English and Indonesian.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiar with calendar management tools.
- Strong organizational and time-management skills, with the ability to prioritize tasks in a fast-paced environment.
- High level of professionalism, discretion, and the ability to handle confidential information with integrity.
- Excellent interpersonal skills, with the ability to build rapport with executives, colleagues, and external partners.
