Responsibility
- Manage the MD/DMD’s calendar, including scheduling appointments, meetings, and travel arrangements with meticulous attention to detail.
- Prepare and edit correspondence, reports, and presentations, ensuring accuracy and alignment with company standards.
- Act as the primary liaison between the MD/DMD and internal/external stakeholders, including clients, partners, and board members.
- Coordinate and facilitate high-level meetings, including preparing agendas, taking minutes, and following up on action items.
- Handle confidential and sensitive information with the utmost discretion and professionalism.
- Oversee office operations, including vendor management, procurement, and administrative workflows to support executive functions.
- Conduct research and compile data to support strategic decision-making and business development initiatives.
- Anticipate the needs of the MD/DMD and proactively address them to enhance productivity and efficiency.
Qualifications
- Bachelor’s degree in Business Administration, Communications, or a related field. Advanced degrees or certifications in executive support are a plus.
- Minimum of 5 years of experience as an Executive Secretary, Personal Assistant, or in a similar high-level administrative role.
- Exceptional written and verbal communication skills in English; proficiency in additional languages is advantageous.
- Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with CRM or project management tools.
- Strong organizational and time-management skills, with the ability to prioritize tasks and meet tight deadlines in a fast-paced environment.
- High level of professionalism, discretion, and integrity when handling sensitive information.
- Proven ability to work independently, take initiative, and exercise sound judgment in decision-making.
- Experience in a multinational or corporate environment is highly desirable.
