Responsibility
- Serve as the primary point of contact for the Managing Director, screening and directing calls, emails, and inquiries with diplomacy.
- Manage complex executive calendars, including scheduling meetings, appointments, and travel arrangements (domestic/international).
- Prepare and edit correspondence, reports, and presentations with a high degree of accuracy and confidentiality.
- Coordinate and facilitate communication between the Managing Director, board members, clients, and internal teams.
- Organize and maintain confidential files, documents, and records, ensuring compliance with company policies.
- Plan and execute executive meetings, including preparing agendas, taking minutes, and following up on action items.
- Anticipate the needs of the Managing Director and proactively address them to enhance productivity.
- Handle sensitive information with discretion and maintain strict confidentiality at all times.
Qualifications
- Minimum 3+ years of experience as an Executive Secretary, Personal Assistant, or in a similar high-level administrative role.
- Fluent in English and Indonesian (written and verbal) with exceptional communication skills.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and calendar management tools.
- Strong organizational and time-management skills, with the ability to prioritize tasks in a fast-paced environment.
- Discretion, professionalism, and the ability to handle confidential information with integrity.
- Bachelor’s degree in Business Administration, Communications, or a related field is preferred.
- Experience supporting C-level executives or senior management in a corporate or multinational setting is a plus.
- Familiarity with Bali’s business landscape and cultural nuances is advantageous.
