Responsibility
- Manage the CEO’s complex calendar, including scheduling meetings, appointments, and travel arrangements with meticulous attention to detail.
- Serve as the primary liaison between the CEO, board members, senior executives, and external stakeholders, ensuring clear and professional communication.
- Prepare and edit correspondence, reports, presentations, and other documents with a high degree of accuracy and confidentiality.
- Coordinate and facilitate high-level meetings, including preparing agendas, taking minutes, and following up on action items.
- Oversee office operations, including vendor management, supply ordering, and maintaining a well-organized executive office.
- Conduct research, compile data, and provide insights to support the CEO’s decision-making processes.
- Handle sensitive information with discretion and maintain strict confidentiality in all executive matters.
- Anticipate the CEO’s needs and proactively address potential issues to ensure smooth daily operations.
Qualifications
- Bachelor’s degree in Business Administration, Communications, or a related field; equivalent experience will be considered.
- Minimum of 5 years of experience as an Executive Secretary, Personal Assistant, or in a similar high-level administrative role.
- Exceptional organizational, multitasking, and time-management skills with the ability to prioritize tasks effectively.
- Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with CRM or project management tools.
- Outstanding written and verbal communication skills in English; fluency in Indonesian is a plus.
- Strong interpersonal skills with the ability to build rapport with executives, colleagues, and external partners.
- Discretion, integrity, and a professional demeanor with a commitment to maintaining confidentiality.
- Experience working in a fast-paced, international, or corporate environment is highly desirable.
