Responsibility

  • Manage and maintain all project-related documentation, including contracts, permits, and reports, ensuring accuracy and compliance with regulations.
  • Coordinate between project teams, subcontractors, and clients to facilitate smooth communication and timely execution of tasks.
  • Prepare and distribute meeting agendas, minutes, and follow-up actions to ensure accountability and progress tracking.
  • Monitor project budgets, expenses, and invoices, providing administrative support for financial tracking and reporting.
  • Organize and schedule project timelines, deadlines, and milestones using project management tools.
  • Assist in the preparation of tender documents, proposals, and presentations for new and ongoing projects.
  • Maintain an organized filing system (digital and physical) for easy retrieval of project documents.
  • Liaise with government agencies, vendors, and internal departments to ensure all administrative requirements are met.

Qualifications

  • Diploma or Bachelor’s degree in Business Administration, Project Management, Civil Engineering, or a related field.
  • Minimum 2 years of experience in project administration, preferably in the construction or engineering industry.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and project management software (e.g., Primavera, MS Project).
  • Strong organizational, multitasking, and time-management skills with the ability to prioritize tasks effectively.
  • Excellent written and verbal communication skills in English; knowledge of Indonesian (Bahasa) is a plus.
  • Detail-oriented with a high level of accuracy in data entry and document management.
  • Ability to work independently and collaboratively in a team-oriented environment.
  • Familiarity with construction terminology, processes, and regulatory requirements is advantageous.
