Responsibility
- Manage complex calendars, meetings, and travel arrangements for C-level executives with precision and foresight.
- Prepare and edit high-level correspondence, reports, and presentations, ensuring accuracy and professionalism.
- Act as the primary liaison between executives, internal teams, and external stakeholders, maintaining confidential communications.
- Coordinate and facilitate board meetings, including agenda preparation, minute-taking, and follow-up actions.
- Oversee office logistics, including expense management, vendor relations, and procurement for executive needs.
- Anticipate leadership needs by proactively researching, compiling, and summarizing critical business information.
- Maintain organized filing systems (digital and physical) for sensitive documents and corporate records.
- Support special projects and initiatives by providing administrative leadership and cross-functional coordination.
Qualifications
- Minimum 5+ years of experience as an Executive Secretary, Personal Assistant, or in a senior administrative role.
- Exceptional written and verbal communication skills in English; fluency in additional languages is a plus.
- Proven ability to handle confidential information with the utmost discretion and integrity.
- Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and calendar management tools.
- Strong organizational skills with the ability to prioritize tasks in a fast-paced, high-pressure environment.
- Degree in Business Administration, Communications, or a related field preferred.
- Experience supporting executives in financial services, consulting, or multinational corporations is highly advantageous.
