Responsibility
- Manage and coordinate complex executive calendars, including scheduling meetings, appointments, and travel arrangements with meticulous attention to detail.
- Act as the primary point of contact for internal and external stakeholders, handling inquiries with professionalism and discretion.
- Prepare and edit correspondence, reports, presentations, and other documents, ensuring accuracy and alignment with company standards.
- Organize and maintain confidential files, records, and databases, adhering to strict privacy and security protocols.
- Facilitate communication between executives and other departments, ensuring timely and accurate information flow.
- Anticipate executive needs and proactively address them, including preparing briefing materials and follow-up actions for meetings.
- Coordinate logistics for board meetings, conferences, and corporate events, including venue booking, catering, and technical setup.
- Monitor and manage office supplies, equipment, and vendor relationships to ensure smooth operational workflows.
Qualifications
- Bachelor’s degree in Business Administration, Communications, or a related field. Relevant experience may substitute for formal education.
- Minimum of 5 years of experience as an Executive Secretary, Personal Assistant, or in a similar high-level administrative role.
- Exceptional organizational and time-management skills, with the ability to multitask and prioritize in a fast-paced environment.
- Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with office management software.
- Outstanding written and verbal communication skills in English, with a professional and polished demeanor.
- Strong interpersonal skills, with the ability to build rapport with executives, colleagues, and external partners.
- High level of integrity, discretion, and confidentiality in handling sensitive information.
- Experience working in a multinational or corporate environment is a plus.
