Responsibility
- Manage and coordinate executive calendars, including scheduling meetings, appointments, and travel arrangements with meticulous attention to detail.
- Prepare and distribute comprehensive meeting agendas, minutes, and follow-up actions, ensuring accuracy and timely delivery.
- Serve as the primary point of contact for internal and external stakeholders, handling correspondence, phone calls, and emails with professionalism and discretion.
- Maintain organized and confidential filing systems (digital and physical) for critical documents, contracts, and records.
- Draft, edit, and proofread business communications, reports, and presentations to ensure clarity and alignment with company standards.
- Coordinate logistics for corporate events, conferences, and off-site meetings, including venue booking, catering, and technical setup.
- Monitor office supply inventory and place orders as needed, while managing vendor relationships for cost-effective solutions.
- Assist in preparing expense reports, budgets, and other administrative documents to support financial tracking and compliance.
Qualifications
- Bachelorâs degree in Business Administration, Secretarial Studies, or a related field. Relevant certifications (e.g., CAP, PACE) are a plus.
- Minimum of 3 years of experience as an Executive Secretary, Administrative Assistant, or similar role in a corporate environment.
- Exceptional written and verbal communication skills in English and Indonesian, with a professional tone and grammar proficiency.
- Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with office management software.
- Strong organizational and time-management skills, with the ability to prioritize tasks and meet deadlines in a high-pressure setting.
- Discretion and integrity in handling sensitive and confidential information.
- Proactive problem-solving mindset with a customer-service-oriented approach.
- Experience working in multinational companies or fast-paced industries is highly desirable.
