Responsibility
- Manage and prioritize the Director’s calendar, including scheduling meetings, appointments, and travel arrangements with meticulous attention to detail.
- Serve as the primary liaison between the Director, internal teams, and external stakeholders, ensuring clear and professional communication.
- Prepare and edit correspondence, reports, presentations, and other documents with a high degree of accuracy and confidentiality.
- Coordinate logistics for business travel, including flights, accommodations, visas, and itineraries, while anticipating potential issues and resolving them proactively.
- Organize and maintain confidential files, records, and databases, ensuring easy retrieval and compliance with company policies.
- Screen and direct incoming calls, emails, and visitors, prioritizing urgent matters and handling inquiries discreetly.
- Assist in the preparation of board meetings, including compiling agendas, distributing materials, and taking minutes when required.
- Monitor and follow up on action items, deadlines, and deliverables to ensure timely completion.
Qualifications
- Bachelor’s degree in Business Administration, Secretarial Studies, or a related field. Relevant certifications (e.g., Executive Assistant training) are a plus.
- Minimum of 3 years of experience as a Personal Secretary, Executive Assistant, or in a similar high-level administrative role, preferably supporting C-level executives.
- Fluency in English and Indonesian (written and verbal) with exceptional communication and proofreading skills.
- Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with calendar management tools.
- Strong organizational and time-management skills, with the ability to multitask and meet tight deadlines in a fast-paced environment.
- High level of professionalism, discretion, and integrity when handling sensitive information.
