Responsibility
- Manage the CEOâs complex calendar, including scheduling meetings, appointments, and travel arrangements with meticulous attention to detail.
- Act as the primary point of contact for internal and external stakeholders, ensuring professional and timely communication.
- Prepare and edit correspondence, reports, and presentations to support executive decision-making.
- Coordinate logistics for high-level meetings, including venue booking, agenda preparation, and follow-up actions.
- Handle confidential information with the utmost discretion and professionalism.
- Liaise with regional teams (Malaysia, Singapore) to streamline operations and ensure alignment with corporate objectives.
- Monitor and prioritize incoming communications, including emails, calls, and messages, to ensure urgent matters are addressed promptly.
- Assist in personal errands and tasks as required, maintaining a high standard of service and reliability.
Qualifications
- Minimum 5 years of experience as an Executive Assistant, Personal Assistant, or in a similar high-level administrative role.
- Exceptional organizational, multitasking, and time-management skills with the ability to anticipate needs and act proactively.
- Fluent in English (written and verbal); proficiency in additional languages (e.g., Malay, Mandarin) is a plus.
- Strong interpersonal skills with the ability to build rapport with stakeholders at all levels.
- Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and calendar management tools (e.g., Outlook, Google Calendar).
- Experience supporting C-level executives in a multinational or fast-paced corporate environment.
- High degree of professionalism, integrity, and confidentiality.
- Willingness to travel occasionally and adapt to flexible working hours as needed.
