Responsibility
- Manage the EVP’s calendar, including scheduling meetings, appointments, and travel arrangements with meticulous attention to detail.
- Prepare and edit correspondence, reports, and presentations, ensuring accuracy and alignment with company standards.
- Act as the primary point of contact for internal and external stakeholders, handling inquiries with professionalism and discretion.
- Coordinate and organize executive meetings, including preparing agendas, taking minutes, and following up on action items.
- Handle confidential information with the utmost integrity and maintain strict confidentiality in all communications.
- Liaise with other departments, senior management, and external partners to facilitate smooth operations.
- Monitor and prioritize incoming emails, calls, and documents, ensuring timely responses and appropriate routing.
- Assist in project management tasks, including tracking deadlines, compiling data, and preparing briefs for the EVP.
Qualifications
- Bachelor’s degree in Business Administration, Communications, or a related field. Relevant experience may substitute for formal education.
- Minimum of 3-5 years of experience as an Executive Secretary, Personal Assistant, or in a similar high-level administrative role.
- Exceptional organizational and time-management skills, with the ability to multitask and prioritize in a fast-paced environment.
- Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with virtual communication tools.
- Outstanding written and verbal communication skills in English, with a professional and polished demeanor.
- Strong interpersonal skills, with the ability to build rapport with stakeholders at all levels.
- High level of discretion, professionalism, and the ability to handle sensitive information confidentially.
- Experience supporting C-level executives or senior management in a corporate or international setting is a plus.
