Responsibility
- Manage the owner’s daily schedule, including appointments, travel arrangements, and meeting coordination with meticulous attention to detail.
- Act as the primary liaison between the owner, executives, clients, and external partners, ensuring clear and professional communication.
- Prepare and edit correspondence, reports, and presentations with a high degree of accuracy and confidentiality.
- Oversee personal and professional errands, including expense tracking, vendor negotiations, and event planning.
- Anticipate the owner’s needs and proactively address them to streamline operations and decision-making.
- Maintain organized filing systems (digital and physical) for critical documents, contracts, and records.
- Coordinate with internal teams to ensure alignment on priorities and deadlines.
- Handle sensitive information with the utmost discretion and professionalism.
Qualifications
- Proven experience (3+ years) as a Personal Assistant, Executive Assistant, or Administrative Coordinator, preferably in hospitality, luxury services, or corporate leadership support.
- Exceptional organizational and time-management skills, with the ability to multitask in a high-pressure environment.
- Fluent in English (written and verbal); proficiency in Indonesian (Bahasa) is a strong plus.
- Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and calendar management tools (e.g., Google Calendar, Outlook).
- Strong problem-solving abilities and a proactive, can-do attitude.
- Impeccable discretion, integrity, and professionalism in handling confidential matters.
- Excellent interpersonal skills, with the ability to build rapport with stakeholders at all levels.
