Responsibility

  • Calendar & Travel Management: Coordinate and manage the Sales Director’s schedule, including meetings, travel arrangements, and itineraries to ensure optimal productivity and efficiency.
  • CRM & Lead Follow-Ups: Maintain and update our CRM system, track sales leads, and ensure timely follow-ups to support the sales team’s efforts.
  • Cross-Team Coordination: Act as a liaison between the Sales Director and internal teams (marketing, operations, logistics) to facilitate smooth communication and project execution.
  • Event & Exhibition Logistics: Organize and manage logistics for trade shows, exhibitions, and corporate events, including vendor coordination, travel, and on-site support.
  • Document & Report Preparation: Assist in preparing presentations, reports, and business documents with a high level of accuracy and professionalism.
  • Urgent Task Handling: Prioritize and execute time-sensitive requests, ensuring critical deadlines are met without compromising quality.
  • Confidentiality & Discretion: Handle sensitive information with the utmost confidentiality and professionalism, acting as a trusted advisor to the Sales Director.
  • Administrative Support: Provide general administrative support, including email management, expense tracking, and office coordination.

Qualifications

  • Proven Experience: Minimum 3-5 years of experience as an Executive Assistant, Personal Assistant, or similar role, preferably supporting C-level executives or sales leadership.
  • Organizational Skills: Exceptional ability to manage multiple priorities, deadlines, and complex schedules in a fast-paced environment.
  • CRM Proficiency: Experience with CRM systems (e.g., Salesforce, HubSpot) and strong data entry skills to maintain accurate records.
  • Communication Skills: Excellent written and verbal communication skills in English, with the ability to interact professionally with stakeholders at all levels.
  • Tech-Savvy: Proficiency in Microsoft Office (Word, Excel, PowerPoint) and Google Workspace; ability to quickly learn new tools and software.
  • Problem-Solving: Strong analytical and problem-solving skills, with a proactive approach to anticipating needs and resolving issues.
  • Discretion & Professionalism: High level of integrity, discretion, and the ability to handle confidential information with care.
  • Remote Work Adaptability: Experience working remotely or in a hybrid environment, with the ability to manage tasks independently and efficiently.
