Responsibility
- Manage and maintain a centralized document control system to ensure all project documents are accurately filed, version-controlled, and easily retrievable.
- Review and verify documents for compliance with company policies, industry standards, and regulatory requirements.
- Coordinate with project teams to collect, organize, and distribute documentation in a timely manner.
- Implement and enforce document naming conventions, filing structures, and retention policies.
- Monitor document workflows, track approvals, and ensure deadlines for submissions are met.
- Provide training and guidance to staff on document control procedures and best practices.
- Conduct regular audits to ensure the accuracy, completeness, and security of all controlled documents.
- Generate reports on document status, revisions, and distribution as required by management.
Qualifications
- Bachelor’s degree in Business Administration, Information Management, or a related field.
- Minimum of 2 years of experience in document control, records management, or a similar administrative role.
- Proficiency in document management systems (e.g., SharePoint, Alfresco, or similar tools).
- Strong attention to detail and exceptional organizational skills.
- Excellent written and verbal communication skills in English.
- Familiarity with ISO standards, GDPR, or other compliance frameworks is a plus.
- Ability to work independently, prioritize tasks, and meet tight deadlines.
- Tech-savvy with advanced skills in Microsoft Office Suite (Word, Excel, PowerPoint).
