Responsibility
- Manage the Directorâs calendar, including scheduling meetings, appointments, and travel arrangements with meticulous attention to detail.
- Coordinate internal and external communications, including drafting emails, preparing reports, and liaising with stakeholders.
- Handle confidential documents and information with the highest level of discretion and professionalism.
- Organize and prepare materials for meetings, presentations, and business reviews.
- Oversee office administration, including expense tracking, invoice processing, and vendor coordination.
- Act as the primary point of contact for the Director, screening calls and prioritizing inquiries.
- Plan and execute logistics for local and international business trips, including itineraries and accommodations.
- Maintain an organized filing system (digital and physical) for easy retrieval of critical documents.
Qualifications
- Minimum 3 years of experience as a Personal Assistant, Executive Assistant, or in a similar high-level administrative role.
- Exceptional organizational and time-management skills with the ability to multitask in a fast-paced environment.
- Fluent in English (written and verbal); proficiency in Indonesian (Bahasa) is a strong plus.
- Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and calendar management tools.
- Strong interpersonal skills with the ability to build rapport with executives, clients, and team members.
- High level of professionalism, integrity, and confidentiality.
- Proactive problem-solving mindset with a can-do attitude.
- Experience in real estate, property, or corporate sectors is highly advantageous.
