Responsibility

  • Act as the primary point of contact for the Director/Owner, managing all communications (calls, emails, and meetings) with professionalism and discretion.
  • Coordinate and manage complex travel arrangements, including flights, accommodations, and itineraries for business and personal trips.
  • Organize and prioritize the executive’s schedule, ensuring optimal time management and alignment with business and personal commitments.
  • Prepare high-quality presentations, reports, and correspondence on behalf of the Director/Owner, ensuring accuracy and attention to detail.
  • Handle confidential and sensitive information with the utmost integrity, maintaining strict confidentiality at all times.
  • Manage personal and household logistics, including but not limited to vendor coordination, event planning, and errands.
  • Liaise with internal teams, external partners, and stakeholders to facilitate smooth operations and project execution.
  • Proactively anticipate the needs of the Director/Owner, offering solutions and support to enhance productivity and efficiency.

Qualifications

  • Minimum of 3-5 years of experience as a Personal Assistant or Executive Assistant, preferably supporting C-level executives or high-net-worth individuals.
  • Exceptional organizational and time-management skills, with the ability to multitask and prioritize in a fast-paced environment.
  • Strong command of English (written and verbal); proficiency in Bahasa Indonesia is a plus.
  • Advanced proficiency in Microsoft Office (Word, Excel, PowerPoint) and Google Workspace (Gmail, Calendar, Docs).
  • Experience with travel coordination, including visa arrangements, flight bookings, and itinerary planning.
  • High level of discretion and professionalism, with a proven ability to handle confidential information.
  • Strong problem-solving skills and the ability to work independently with minimal supervision.
  • Experience living or working in Bali or a similar international setting is highly desirable.
