Responsibility
- Manage the Director’s calendar, including scheduling meetings, appointments, and travel arrangements with precision.
- Handle confidential correspondence, emails, and communications on behalf of the Director with professionalism.
- Coordinate and prepare materials for meetings, presentations, and events, ensuring all details are executed flawlessly.
- Oversee administrative tasks, including expense reporting, invoice processing, and vendor coordination.
- Provide personal support, such as managing household staff, errands, and personal appointments as needed.
- Act as a liaison between the Director and internal/external stakeholders, maintaining strong relationships.
- Anticipate needs and proactively address potential issues before they arise.
- Maintain organized filing systems (digital and physical) for easy retrieval of documents.
Qualifications
- Minimum 3+ years of experience as a Personal Assistant, Executive Assistant, or in a similar high-level administrative role.
- Fluency in English and Indonesian (Bahasa); additional languages are a plus.
- Exceptional organizational, time-management, and multitasking abilities.
- Strong discretion and ability to handle sensitive information with confidentiality.
- Proficiency in Microsoft Office Suite, Google Workspace, and calendar management tools.
- Excellent written and verbal communication skills with a polished, professional demeanor.
- Ability to work flexible hours and adapt to changing priorities in a fast-paced environment.
