Responsibility
- Manage the Director’s calendar, including scheduling meetings, appointments, and travel arrangements with meticulous attention to detail.
- Act as the primary point of contact for internal and external stakeholders, handling correspondence in Mandarin and English with professionalism.
- Prepare and edit reports, presentations, and documents, ensuring accuracy and alignment with company standards.
- Coordinate logistics for local and international business meetings, including venue booking, itinerary planning, and visa arrangements.
- Handle confidential information with the utmost discretion and maintain strict confidentiality in all communications.
- Liaise with clients, partners, and team members to facilitate smooth communication and resolve inquiries promptly.
- Monitor and manage expenses, process invoices, and assist with budget tracking for the Director’s department.
- Anticipate the Director’s needs and proactively address them to enhance productivity and efficiency.
Qualifications
- Proven experience (3+ years) as a Personal Assistant, Executive Assistant, or similar role supporting C-level executives.
- Fluency in Mandarin (written and spoken) is mandatory; proficiency in English is required.
- Exceptional organizational and time-management skills, with the ability to prioritize tasks in a high-pressure environment.
- Strong interpersonal and communication skills, with a polished and professional demeanor.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with calendar management tools (e.g., Outlook, Google Calendar).
- High level of discretion, integrity, and the ability to handle sensitive information confidentially.
- Bachelor’s degree in Business Administration, Communications, or a related field is preferred.
- Experience working in an international or multicultural environment is a plus.
