Responsibility
- Manage and coordinate the Director’s daily schedule, including meetings, appointments, and travel arrangements, ensuring optimal time management and efficiency.
- Act as the primary point of contact for internal and external stakeholders, handling correspondence, emails, and phone calls with professionalism and discretion.
- Prepare and edit high-quality documents, reports, and presentations for executive review, ensuring accuracy and alignment with company standards.
- Organize and facilitate executive meetings, including preparing agendas, taking minutes, and following up on action items to drive productivity.
- Coordinate and oversee logistics for business trips, events, and corporate functions, including venue booking, accommodation, and transportation.
- Maintain confidential information with the utmost integrity, handling sensitive data and documents securely and responsibly.
- Assist in project management by tracking deadlines, coordinating with cross-functional teams, and ensuring timely completion of tasks.
- Provide general administrative support, such as managing office supplies, handling expense reports, and liaising with vendors.
Qualifications
- Minimum of 3 years of experience as a Personal Assistant or Executive Assistant, preferably supporting C-level executives or directors.
- Proven track record of managing complex schedules, coordinating travel, and handling confidential information with discretion.
- Exceptional organizational and time-management skills, with the ability to prioritize tasks in a fast-paced environment.
- Strong written and verbal communication skills in English and Indonesian, with the ability to draft professional correspondence and reports.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace (Gmail, Calendar, Docs).
- Ability to work independently, anticipate needs, and proactively solve problems with minimal supervision.
- High level of professionalism, adaptability, and a positive attitude, even under pressure.
- Experience in the media, advertising, or creative industries is a plus but not required.
