Responsibility
- Manage and coordinate the Director’s complex calendar, including scheduling meetings, appointments, and travel arrangements with precision.
- Act as the primary point of contact for internal and external stakeholders, handling correspondence, calls, and inquiries with professionalism and discretion.
- Prepare and organize reports, presentations, and documents, ensuring accuracy and timely delivery.
- Oversee confidential matters, including sensitive communications, contracts, and high-level discussions, with the utmost integrity.
- Coordinate and follow up on projects, ensuring deadlines are met and all parties are aligned.
- Anticipate the Director’s needs and proactively address them to streamline operations.
- Liaise with other departments, executives, and external partners to facilitate smooth collaboration.
- Maintain organized filing systems (digital and physical) for easy retrieval of critical information.
Qualifications
- Proven experience (3+ years) as a Personal Assistant, Executive Assistant, or Administrative Assistant supporting senior-level executives.
- Exceptional organizational and time-management skills, with the ability to multitask in a high-pressure environment.
- Strong written and verbal communication skills in English; fluency in additional languages is a plus.
- High level of discretion, professionalism, and the ability to handle confidential information with integrity.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and calendar management tools (e.g., Google Calendar).
- Problem-solving mindset with a proactive and resourceful approach to challenges.
- Flexibility to adapt to changing priorities and work outside standard hours when necessary.
- Bachelor’s degree in Business Administration, Communications, or a related field is preferred.
