Responsibility

  • Manage the Director’s calendar, including scheduling meetings, appointments, and travel arrangements with meticulous attention to detail.
  • Act as the primary point of contact for internal and external stakeholders, handling correspondence, calls, and inquiries professionally and discreetly.
  • Prepare and edit reports, presentations, and documents to ensure accuracy and alignment with company standards.
  • Coordinate and organize meetings, including preparing agendas, taking minutes, and following up on action items.
  • Handle personal tasks for the Director, such as errands, event planning, and expense management, with the utmost confidentiality.
  • Liaise with other departments, clients, and vendors to facilitate smooth communication and operational workflows.
  • Anticipate the Director’s needs and proactively address them to enhance productivity and efficiency.
  • Maintain organized filing systems (digital and physical) for easy retrieval of critical documents and information.

Qualifications

  • Proven experience (3+ years) as a Personal Assistant, Executive Assistant, or in a similar administrative role supporting senior leadership.
  • Exceptional organizational and time-management skills, with the ability to prioritize tasks in a high-pressure environment.
  • Strong written and verbal communication skills in English; proficiency in additional languages is a plus.
  • High level of discretion, professionalism, and integrity when handling sensitive or confidential information.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with calendar management tools (e.g., Google Calendar, Outlook).
  • Ability to work independently, take initiative, and solve problems with minimal supervision.
  • Flexibility to adapt to changing priorities and occasional overtime or travel as required.
  • Based in or willing to relocate to Bali, Indonesia, with eligibility to work in the country.
