Responsibility
- Manage and prioritize the executive’s calendar, including scheduling meetings, appointments, and site visits with internal and external stakeholders.
- Coordinate complex domestic and international travel arrangements, including flights, accommodations, visas, and itineraries, ensuring all logistics are handled efficiently.
- Act as the primary point of contact for the executive, screening and responding to correspondence, calls, and inquiries with professionalism and confidentiality.
- Prepare agendas, briefing materials, and presentations for meetings, ensuring the executive is fully prepared for all engagements.
- Handle ad-hoc administrative tasks, such as expense reporting, document management, and vendor coordination, with a high degree of accuracy.
- Liaise with internal teams, clients, and partners to facilitate seamless communication and alignment on key initiatives.
- Anticipate the executive’s needs and proactively address potential issues before they arise, demonstrating foresight and resourcefulness.
- Maintain strict confidentiality and discretion in all matters related to the executive’s professional and personal affairs.
Qualifications
- Minimum 5 years of experience as a Personal Assistant, Executive Assistant, or in a similar high-level administrative role.
- Proven track record of supporting C-level executives or senior leadership in a fast-paced environment.
- Exceptional organizational and time-management skills, with the ability to multitask and prioritize effectively.
- Strong written and verbal communication skills in English; additional languages are a plus.
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and familiarity with calendar management tools (e.g., Google Calendar).
- High level of discretion, professionalism, and emotional intelligence, with the ability to handle sensitive information confidentially.
- Flexibility to adapt to changing priorities and work outside standard business hours when necessary.
- Bachelor’s degree in Business Administration, Communications, or a related field is preferred.
