Responsibility

  • Manage executive calendars, including scheduling meetings, appointments, and travel arrangements with precision.
  • Act as the primary liaison for internal and external stakeholders, ensuring professional and timely communication.
  • Prepare and edit correspondence, reports, and presentations with a high degree of accuracy and confidentiality.
  • Coordinate and organize meetings, including preparing agendas, taking minutes, and following up on action items.
  • Handle sensitive information with discretion and maintain strict confidentiality at all times.
  • Oversee office operations, including supply management, vendor coordination, and workspace organization.
  • Assist in project management by tracking deadlines, delegating tasks, and ensuring timely completion.
  • Provide administrative support to other departments as needed, fostering cross-functional collaboration.

Qualifications

  • Minimum 3+ years of experience as a Personal Assistant, Executive Secretary, or in a similar administrative role.
  • Fluency in English (written and spoken); proficiency in Indonesian is a plus.
  • Exceptional organizational, time-management, and prioritization skills.
  • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and virtual collaboration tools.
  • Strong interpersonal and communication skills, with the ability to interact professionally with all levels of management.
  • Proven ability to handle confidential information with integrity and professionalism.
  • Proactive mindset with the ability to anticipate needs and solve problems independently.
  • Bachelor’s degree in Business Administration, Communications, or a related field is preferred.
