Responsibility
- Executive Support: Provide high-level administrative and operational support to the Managing Director, including managing schedules, coordinating meetings, and handling confidential correspondence.
- Calendar Management: Organize and prioritize the Managing Director’s calendar, ensuring optimal time allocation for critical business activities and minimizing conflicts.
- Stakeholder Liaison: Act as the primary point of contact for internal and external stakeholders, including clients, partners, and senior leadership, ensuring smooth and professional communication.
- Travel Coordination: Arrange complex domestic and international travel itineraries, including flights, accommodations, and ground transportation, while managing associated expenses and logistics.
- Document Preparation: Draft, edit, and proofread high-quality documents, reports, presentations, and emails on behalf of the Managing Director, ensuring accuracy and professionalism.
- Meeting Coordination: Organize and facilitate high-level meetings, including preparing agendas, taking minutes, and following up on action items to ensure accountability and progress.
- Project Support: Assist with special projects, research, and data analysis as needed, providing insights and recommendations to support strategic decision-making.
- Confidentiality: Maintain the highest level of discretion and confidentiality in handling sensitive information and executive matters.
Qualifications
- Experience: Minimum of 3-5 years of experience as an Executive Personal Assistant, Executive Assistant, or similar role, preferably supporting C-level executives.
- Education: Bachelor’s degree in Business Administration, Communications, or a related field is preferred but not required.
- Organizational Skills: Exceptional ability to manage multiple priorities, meet deadlines, and work under pressure in a fast-paced environment.
- Communication: Fluent in English with outstanding written and verbal communication skills; proficiency in Bahasa Indonesia is a plus.
- Technical Proficiency: Advanced skills in Microsoft Office (Word, Excel, PowerPoint, Outlook) and Google Workspace; experience with project management tools (e.g., Trello, Asana) is advantageous.
- Problem-Solving: Strong analytical and critical thinking skills, with the ability to anticipate needs and proactively address challenges.
- Discretion: Proven ability to handle confidential information with integrity and professionalism.
- Adaptability: Ability to thrive in a dynamic environment and adapt to changing priorities and business needs.
