Responsibility
- Act as the primary point of contact for the CEO and COO, managing communications, correspondence, and inquiries with professionalism and discretion.
- Coordinate and prioritize executive calendars, scheduling meetings, appointments, and travel arrangements to optimize their time and productivity.
- Serve as a strategic gatekeeper, filtering and directing information to ensure the executives focus on high-priority tasks and decisions.
- Prepare and edit high-quality documents, reports, and presentations for executive review and stakeholder engagement.
- Facilitate seamless communication between the C-suite, internal teams, and external stakeholders, including clients, partners, and regional offices.
- Organize and coordinate executive meetings, including preparing agendas, taking minutes, and ensuring follow-up on action items.
- Manage confidential information with the utmost integrity, ensuring compliance with company policies and data protection regulations.
- Anticipate the needs of the executives, proactively addressing challenges and providing solutions to enhance operational efficiency.
Qualifications
- Proven experience as an Executive Personal Assistant, Executive Assistant, or similar role supporting C-level executives.
- Exceptional organizational and time-management skills, with the ability to prioritize tasks in a fast-paced environment.
- Strong communication skills, both written and verbal, with fluency in English (additional languages are a plus).
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and experience with calendar management tools (e.g., Google Calendar, Microsoft Teams).
- Discretion and professionalism in handling sensitive and confidential information.
- Ability to work independently, take initiative, and solve problems with minimal supervision.
- Experience in coordinating travel arrangements, including flights, accommodations, and itineraries.
- Bachelor’s degree in Business Administration, Communications, or a related field is preferred but not required.
