Responsibility
- Manage and coordinate complex executive calendars, including scheduling meetings, travel arrangements, and itineraries with a focus on Japan-related engagements.
- Act as the primary point of contact for internal and external stakeholders, ensuring professional and timely communication in both Japanese and English.
- Prepare and edit correspondence, reports, and presentations with a high degree of accuracy and confidentiality.
- Handle sensitive information with discretion and maintain strict confidentiality at all times.
- Organize and facilitate high-level meetings, including preparing agendas, taking minutes, and following up on action items.
- Liaise with clients, partners, and vendors in Japan, ensuring seamless cross-border collaboration.
- Monitor and prioritize incoming communications (emails, calls, messages) and respond or redirect as appropriate.
- Assist with personal tasks for executives, such as expense management, visa coordination, and local logistics in Bali.
Qualifications
- Fluency in Japanese (N1 level) and English (written and verbal) is mandatory.
- Proven experience (3+ years) as a Personal Assistant, Executive Assistant, or in a similar high-level administrative role.
- Exceptional organizational and time-management skills, with the ability to multitask in a fast-paced environment.
- Strong interpersonal and communication skills, with a professional and polished demeanor.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace.
- Experience working in an international or multicultural setting is highly preferred.
- Discretion, integrity, and the ability to handle confidential information with the utmost care.
- Willingness to relocate to Bali (or already based in Bali) and adapt to a hybrid or in-office work model.
