As the right hand to the Director and regional executives, you will play a pivotal role in ensuring seamless operations, managing complex schedules, and facilitating cross-border communication. Responsibility
- Manage and coordinate complex calendars, meetings, and travel arrangements for the Director and Asia-Pacific executives, including international trips and virtual engagements.
- Serve as the primary liaison between executives, clients, and internal teams, ensuring clear and professional communication in Chinese (Mandarin) and English.
- Prepare and edit high-level documents, reports, and presentations with meticulous attention to detail and confidentiality.
- Handle sensitive information with discretion, including financial data, contracts, and strategic plans.
- Anticipate executive needs by proactively researching, compiling briefs, and providing actionable insights for decision-making.
- Coordinate logistics for corporate events, conferences, and stakeholder meetings, including venue selection, catering, and technical setup.
- Monitor and prioritize incoming communications (emails, calls, messages) and respond or delegate as appropriate.
- Assist with personal tasks for executives as needed, such as expense management, gift procurement, or family coordination.
Qualifications
- Minimum 3+ years of experience as an Executive Assistant, Personal Assistant, or in a similar high-level administrative role.
- Fluent in Chinese (Mandarin) and English (written and verbal) with the ability to translate and interpret business communications.
- Exceptional organizational skills, with a proven ability to manage multiple priorities in a fast-paced environment.
- Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and virtual collaboration tools (e.g., Zoom, Teams).
- High emotional intelligence, diplomacy, and the ability to interact professionally with stakeholders at all levels.
- Discretion and trustworthiness in handling confidential and sensitive information.
- Bachelor’s degree in Business Administration, Communications, or a related field is preferred.
- Experience in the nutraceutical, pharmaceutical, or healthcare industry is a plus.
