Responsibility
- Manage and maintain the executiveâs calendar, including scheduling appointments, meetings, and conference calls with global stakeholders.
- Coordinate complex domestic and international travel arrangements, including flights, accommodations, visas, and itineraries.
- Prepare and edit correspondence, reports, and presentations with a high degree of accuracy and professionalism.
- Act as the primary point of contact for internal and external stakeholders, screening calls and emails with discretion.
- Organize and facilitate executive meetings, including preparing agendas, taking minutes, and following up on action items.
- Handle confidential and sensitive information with the utmost integrity and professionalism.
- Anticipate executive needs and proactively address them to ensure smooth daily operations.
- Liaise with other departments, vendors, and clients to ensure alignment with executive priorities.
Qualifications
- Minimum 3+ years of experience as a Personal Assistant, Executive Assistant, or in a similar administrative role.
- Exceptional organizational, time-management, and multitasking skills.
- Fluent in English (written and verbal); proficiency in Indonesian is a plus.
- Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and calendar management tools (e.g., Outlook, Google Calendar).
- High level of discretion, professionalism, and ability to handle confidential information.
- Excellent communication and interpersonal skills, with a proactive and solution-oriented mindset.
- Experience supporting C-level executives or high-net-worth individuals is highly desirable.
- Flexibility to adapt to changing priorities and work occasional evenings or weekends as needed.
