Join a dynamic team at PERSOL in supporting a leading utilities group as an Executive Contract Administrator & Procurement Assistant. This role is pivotal in ensuring seamless contract administration, procurement processes, and ERP system management in a fast-paced environment.
Based in the vibrant Badung region of Bali (covering Canggu, Ubud, Denpasar, Jimbaran, Nusa Dua, or Kuta), you will collaborate with cross-functional teams to streamline purchase orders (PO), vendor negotiations, and compliance documentation. Your expertise in ERP systems and procurement workflows will drive operational efficiency and support strategic business objectives.

Responsibility
- Manage end-to-end contract administration, including drafting, reviewing, and renewing agreements with vendors and partners.
- Process and track purchase orders (PO) in alignment with procurement policies and budgetary guidelines.
- Coordinate with internal stakeholders to ensure timely approvals and compliance with organizational and legal requirements.
- Maintain and update ERP system records, ensuring accuracy in procurement data, inventory levels, and vendor information.
- Assist in vendor selection and negotiation, evaluating proposals and terms to secure cost-effective solutions.
- Prepare and distribute procurement reports, highlighting key metrics, savings, and process improvements.
- Support executive teams with administrative tasks, including scheduling, documentation, and meeting coordination.
- Monitor contract performance and resolve discrepancies or issues with vendors proactively.
Qualifications
- Minimum 3+ years of experience in contract administration, procurement, or a related administrative role.
- Proficiency in ERP systems (e.g., SAP, Oracle, or similar) and Microsoft Office Suite (Excel, Word).
- Strong understanding of procurement processes, purchase orders, and vendor management.
- Excellent organizational and multitasking skills with a keen eye for detail.
- Effective communication and negotiation abilities to liaise with internal and external stakeholders.
- Familiarity with legal and compliance aspects of contract management.
- Diploma or Bachelor’s degree in Business Administration, Supply Chain, or a related field is preferred.
- Prior experience in the utilities, energy, or infrastructure sectors is a plus.
