Responsibility

  • Calendar & Schedule Management: Coordinate and prioritize Jennifer’s appointments, meetings, and travel arrangements with precision, ensuring optimal time management and minimal conflicts.
  • Zoho CRM Administration: Maintain and update Jennifer’s Zoho CRM system, including contact management, pipeline tracking, and reporting to ensure data accuracy and efficiency.
  • Communication & Correspondence: Draft, edit, and proofread professional emails, letters, and documents on Jennifer’s behalf, ensuring clarity, tone, and brand alignment.
  • Meeting Coordination: Organize virtual and in-person meetings, including preparing agendas, collating materials, and following up on action items to drive productivity.
  • Travel & Logistics Support: Arrange domestic and international travel, accommodations, and itineraries, ensuring seamless execution and cost efficiency.
  • Confidentiality & Discretion: Handle sensitive information with the utmost professionalism, maintaining confidentiality and trust at all times.
  • Brand Representation: Act as a professional and polished extension of Jennifer’s brand, interacting with stakeholders, clients, and partners with grace and diplomacy.
  • Ad Hoc Administrative Tasks: Assist with research, expense tracking, and other administrative duties as needed to support Jennifer’s priorities.

Qualifications

  • Proven Experience: Minimum 3 years of experience as an Executive Assistant, Personal Assistant, or similar role, preferably supporting C-level executives or entrepreneurs.
  • Zoho CRM Proficiency: Hands-on experience with Zoho CRM, including contact management, workflow automation, and reporting. Certification is a plus.
  • Exceptional Organizational Skills: Ability to manage multiple priorities, deadlines, and complex schedules with efficiency and attention to detail.
  • Strong Communication: Fluent in English (written and verbal), with impeccable grammar, tone, and professionalism in all correspondence.
  • Tech-Savvy: Proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace, and other collaboration tools (e.g., Slack, Zoom).
  • Proactive Problem-Solving: Ability to anticipate needs, identify challenges, and propose solutions before they arise.
  • Discretion & Integrity: Unwavering commitment to confidentiality and ethical conduct in handling sensitive information.
  • Remote Work Readiness: Self-motivated, disciplined, and comfortable working independently in a remote setting with minimal supervision.
  • Bali-Based: Residing in or willing to relocate to Canggu, Ubud, Denpasar, Jimbaran, Nusa Dua, Kuta, or Badung (preferred but not mandatory for exceptional candidates).
