Responsibility
- Manage the General Manager’s calendar, including scheduling meetings, appointments, and travel arrangements (domestic and international).
- Prepare, translate, and proofread business documents, reports, and correspondence in Mandarin, English, and Indonesian.
- Coordinate cross-departmental communication to ensure alignment on projects, deadlines, and priorities.
- Handle confidential information with the utmost discretion and professionalism.
- Organize and facilitate high-level meetings, including preparing agendas, taking minutes, and following up on action items.
- Act as a liaison between the General Manager and internal/external stakeholders, including clients, partners, and vendors.
- Oversee office administration, including expense reporting, supply management, and adherence to company policies.
- Provide ad-hoc support for special projects, events, or initiatives as directed by the General Manager.
Qualifications
- Bachelor’s degree in Business Administration, Communications, or a related field (or equivalent experience).
- Proven experience (3+ years) as an Executive Assistant, Personal Assistant, or Administrative Coordinator, preferably in an international or multicultural setting.
- Full professional proficiency in Mandarin, English, and Indonesian (written and verbal).
- Exceptional organizational, time-management, and multitasking skills with a keen eye for detail.
- Strong interpersonal and communication skills, with the ability to interact confidently with senior executives and global stakeholders.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with virtual collaboration tools (e.g., Zoom, Teams).
- Willingness to travel domestically and internationally as required.
- Discretion, integrity, and a proactive approach to problem-solving.
