Responsibility

  • Manage and maintain the Director’s complex calendar, including appointment scheduling, meeting coordination, and travel arrangements.
  • Serve as the primary point of contact between the Director and internal/external stakeholders, ensuring timely and professional communication.
  • Prepare, proofread, and format documents, reports, presentations, and correspondence for executive review.
  • Organize and facilitate meetings, including agenda preparation, minute-taking, and follow-up on action items.
  • Coordinate administrative operations to ensure the efficiency of the executive office workflow.
  • Handle confidential information with discretion and professional integrity.
  • Assist with special projects and initiatives as assigned by the Director.

Qualifications

  • Diploma or Bachelor’s degree in Business Administration, Office Management, or a related field.
  • Minimum 3-5 years of experience in an executive assistant or high-level administrative support role.
  • Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Exceptional verbal and written communication skills in English and Bahasa Malaysia.
  • Strong organizational, time-management, and problem-solving skills.
  • Ability to work independently with minimal supervision and exercise sound judgment.
  • Previous experience in the engineering, manufacturing, or technology sector is highly advantageous.
