Responsibility

  • Manage complex executive calendars, prioritizing meetings, travel, and engagements for the Country Manager and SEA General Manager.
  • Coordinate cross-functional communications between headquarters, regional teams, and external partners, ensuring alignment on strategic initiatives.
  • Prepare high-level reports, presentations, and briefing materials for executive review, with a focus on clarity and accuracy.
  • Act as the primary liaison for internal and external stakeholders, including board members, clients, and government agencies.
  • Oversee logistical arrangements for regional conferences, offsites, and VIP visits, including venue selection and vendor negotiations.
  • Maintain confidentiality in handling sensitive corporate information and executive correspondence.
  • Streamline administrative processes to improve efficiency, such as expense reporting, contract management, and compliance documentation.
  • Anticipate leadership needs by proactively identifying and resolving operational gaps before they escalate.

Qualifications

  • 5+ years of experience as an Executive Assistant, preferably in a multinational corporation (MNC) or healthcare/pharma sector.
  • Exceptional written and verbal communication skills in English; proficiency in additional Asian languages is a plus.
  • Advanced proficiency in Microsoft Office Suite (Outlook, PowerPoint, Excel) and virtual collaboration tools (e.g., Teams, Zoom).
  • Proven ability to manage competing priorities in a high-pressure environment with minimal supervision.
  • Strong discretion and judgment in handling confidential matters with integrity.
  • Experience supporting C-level executives or regional leadership teams in a fast-paced setting.
  • Familiarity with pharmaceutical industry terminology and regulatory frameworks is advantageous.
  • Bachelor’s degree in Business Administration, Communications, or a related field; certification in executive support (e.g., CAP, PACE) is a bonus.
