Responsibility
- Manage and maintain executive calendars, including scheduling meetings, appointments, and travel arrangements with meticulous attention to detail.
- Coordinate internal and external communications, including drafting emails, preparing reports, and liaising with stakeholders at all levels.
- Organize and facilitate meetings, including preparing agendas, taking minutes, and ensuring follow-up actions are completed.
- Handle confidential information with discretion and professionalism, ensuring compliance with company policies.
- Act as a gatekeeper for executive time, prioritizing requests and resolving conflicts to optimize productivity.
- Prepare and edit presentations, documents, and other materials to support executive decision-making.
- Monitor and manage office supplies, vendor relationships, and administrative budgets as needed.
- Provide proactive support by anticipating needs and implementing process improvements to enhance efficiency.
Qualifications
- Bachelorâs degree in Business Administration, Communications, or a related field (or equivalent experience).
- Minimum of 3-5 years of experience as an Executive Assistant, Personal Assistant, or in a similar administrative role.
- Exceptional organizational and time-management skills, with the ability to multitask in a fast-paced environment.
- Strong written and verbal communication skills in English; proficiency in additional languages is a plus.
- Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with project management tools.
- High level of professionalism, discretion, and the ability to handle sensitive information confidentially.
- Proactive mindset with a solutions-oriented approach to problem-solving.
- Experience working in a multicultural or international environment is highly desirable.
