Responsibility
- Manage and prioritize complex executive calendars, including scheduling meetings, appointments, and travel arrangements with a high degree of accuracy and discretion.
- Act as the primary liaison between executives and internal/external stakeholders, ensuring clear, professional, and timely communication.
- Coordinate and prepare materials for high-level meetings, including agendas, presentations, and follow-up documentation.
- Conduct client prospecting and outreach to support business development initiatives, maintaining a proactive and strategic approach.
- Handle confidential information with the utmost integrity and maintain strict discretion in all executive matters.
- Oversee administrative tasks such as expense reporting, invoice processing, and office supply management to ensure operational efficiency.
- Anticipate executive needs and proactively address them, demonstrating foresight and initiative in problem-solving.
- Organize domestic and international travel, including itineraries, accommodations, and visa arrangements, with meticulous attention to detail.
Qualifications
- Minimum of 3-5 years of experience as an Executive Assistant, Personal Assistant, or in a similar high-level administrative role.
- Exceptional organizational and time-management skills, with the ability to multitask and prioritize in a fast-paced environment.
- Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and familiarity with project management tools (e.g., Asana, Trello).
- Outstanding written and verbal communication skills in English, with a professional and polished demeanor.
- Strong interpersonal skills, with the ability to build rapport with stakeholders at all levels, including C-suite executives.
- High level of discretion and confidentiality, with a proven ability to handle sensitive information.
- Proactive mindset with the ability to work independently, take initiative, and anticipate needs before they arise.
- Bachelorâs degree in Business Administration, Communications, or a related field is preferred but not required.
