Responsibility
- Manage and coordinate executive calendars, appointments, and meetings, ensuring optimal time management and prioritization.
- Act as the primary point of contact for internal and external stakeholders, handling inquiries and communications with professionalism and discretion.
- Prepare, edit, and proofread correspondence, reports, presentations, and other documents to ensure accuracy and consistency.
- Organize and maintain physical and digital filing systems, ensuring confidentiality and easy retrieval of documents.
- Coordinate travel arrangements, including flights, accommodations, and itineraries, for executives and team members.
- Assist in the planning and execution of events, conferences, and meetings, including logistics, invitations, and follow-ups.
- Monitor and manage executive email accounts, flagging urgent matters and responding to routine inquiries as needed.
- Conduct research and compile data to support decision-making and strategic initiatives.
- Handle sensitive information with the utmost confidentiality and professionalism.
Qualifications
- Proven experience as an Executive Assistant, Personal Assistant, or similar administrative role, preferably in a fast-paced environment.
- Exceptional organizational and time-management skills, with the ability to prioritize tasks effectively.
- Strong written and verbal communication skills in English; proficiency in additional languages is a plus.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google Workspace (Gmail, Calendar, Docs, Sheets).
- Ability to work independently, take initiative, and handle confidential information with discretion.
- Experience with calendar management, travel coordination, and event planning.
- Strong problem-solving skills and the ability to adapt to changing priorities.
- High level of professionalism, attention to detail, and a proactive attitude.
- Willingness to work night shifts and adapt to a flexible schedule.
