Responsibility
- Manage and coordinate the executive calendar, including scheduling appointments, meetings, and travel arrangements for senior dental services leadership.
- Prepare and edit correspondence, reports, and presentations to ensure clarity, accuracy, and professionalism.
- Act as the primary point of contact for internal and external stakeholders, handling inquiries and communications with discretion and efficiency.
- Organize and maintain confidential files, records, and documentation related to dental services operations and administrative activities.
- Assist in the planning and execution of departmental events, workshops, and training sessions.
- Monitor and track budgets, expenses, and procurement processes for the dental services division.
- Liaise with other healthcare departments to facilitate cross-functional collaboration and information sharing.
- Provide administrative support for special projects and initiatives aimed at improving dental service delivery and patient care.
Qualifications
- Bachelor’s degree in Business Administration, Healthcare Management, or a related field. Relevant certifications in office administration are a plus.
- Minimum of 3-5 years of experience as an Executive Assistant, Administrative Assistant, or in a similar role, preferably within the healthcare sector.
- Exceptional organizational and time-management skills, with the ability to prioritize tasks and meet deadlines in a high-pressure environment.
- Strong written and verbal communication skills in English, with a professional and polished demeanor.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and experience with office management software or tools.
- High level of discretion and integrity in handling sensitive and confidential information.
- Familiarity with healthcare terminology, policies, and regulatory requirements is advantageous.
- Proactive problem-solving abilities and a customer-service-oriented mindset.
