Responsibility
- Manage and maintain executivesâ calendars, including scheduling meetings, appointments, and travel arrangements.
- Coordinate domestic and international travel, including flights, accommodations, and itineraries, ensuring all logistics are handled efficiently.
- Prepare and edit correspondence, reports, presentations, and other documents with a high degree of accuracy and professionalism.
- Act as the primary point of contact for internal and external stakeholders, handling inquiries and communications with discretion and diplomacy.
- Organize and facilitate meetings, including preparing agendas, taking minutes, and following up on action items.
- Manage expense reports, invoices, and other financial documents, ensuring compliance with company policies.
- Maintain confidential files and records, ensuring data integrity and security.
- Anticipate executivesâ needs and proactively address them to enhance productivity and efficiency.
Qualifications
- Bachelorâs degree in Business Administration, Communications, or a related field (or equivalent work experience).
- Minimum of 3-5 years of experience as an Executive Assistant, Administrative Assistant, or in a similar role.
- Exceptional organizational, time-management, and prioritization skills.
- Strong written and verbal communication skills in English; proficiency in additional languages is a plus.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with project management tools.
- High level of discretion, professionalism, and ability to handle sensitive information confidentially.
- Proven ability to work independently, take initiative, and adapt to changing priorities in a fast-paced environment.
- Experience in a multinational or remote work setting is highly desirable.
